Run this every time goods arrive, before they go on the shelf. Confirming the receipt updates stock, cost price and expiry for every line at once.
Before you start
- The supplier exists on Suppliers. If not, tap Add Supplier first.
- You have the delivery note with quantities and prices.
- You checked the boxes against the note and pulled out anything damaged.
Steps
- Tap Suppliers, then Receive Shipment.
- Choose the Supplier.
- Tap Add line item. In Product, scan the barcode or type the name.
- If the product is not in the catalog, tap Add Product, fill in Name, Barcode and Sale price, and tap Add Product again. It is added to the line.
- Type the Quantity received, the Cost price per unit, and the Expiry date printed on the pack.
- Repeat Add line item for every product on the delivery note. Use Remove line for mistakes.
- Compare the Total with the delivery note.
- Tap Confirm Receipt.
Check it worked
- The dialog closes without an error.
- On Inventory → Stock, each product’s On hand went up by the quantity received.
- On Inventory → Movements, a new entry per product shows the receiving quantity.
- Products with a near expiry date now appear on the Near Expiry tab.
If something goes wrong
| Problem | What to do |
|---|---|
| This barcode is already in your catalog. Search for it instead of creating a new product. | Cancel the quick add and type the product name in Product to pick the existing one. |
| No match. Type the exact name or scan the barcode. | Check spelling, or scan the pack. If it is really new, use Add Product. |
| Couldn’t confirm this shipment. Nothing was saved … | Nothing changed. Check every line has a product, a quantity above zero and a cost, then tap Confirm Receipt again. |
| You confirmed the wrong quantity | Fix the difference with Adjust stock with a reason using Correction. |
| The delivery matches a purchase order | Receive it from the order instead so it closes: see Reorder low stock. |
