Run this once a week, same day every week. The app flags products inside the alert window you set; near-expiry products get an automatic discount at checkout if you configured one.
Before you start
- Expiry dates were typed when receiving shipments. Products without a date are never flagged.
- An admin set the alert window under Settings → Near Expiry (Alert window (days) and Near-expiry discount (%)).
Steps
- Check the sidebar badge N expiring soon and the Near expiry counter on Inventory.
- Tap Inventory, then the Near Expiry tab. Products are sorted soonest first with Expiry date and Days remaining.
- Walk the shelves with the list. Move soon-to-expire stock to the front and tell cashiers which items carry the automatic discount.
- For anything already expired, remove it from the shelf and tap Adjust on the Stock tab with a negative Quantity delta and reason Expired.
- Note products that expire often; order less of them next time (see Reorder low stock).
Check it worked
- Expired products no longer show on the Stock tab with quantity.
- The Expiry-Loss section of Reports → Inventory Analytics shows this week’s write-offs.
- On Checkout, near-expiry items show Expires in N days on the cart line.
If something goes wrong
| Problem | What to do |
|---|---|
| Nothing expiring soon but you know there is | The product has no expiry date. Add it the next time you receive it, or check the alert window in Settings → Near Expiry. |
| The list shows a product you already sold out | Its expiry date stays until the next shipment overwrites it. It disappears once stock is zero and a new date is received. |
| A discount is applied you did not expect | That is the near-expiry discount. Change Near-expiry discount (%) under Settings → Near Expiry (admin only). |
